Gmail Add-on Initial Setup and Usage
This guide explains the steps to use the add-on from the Gmail compose screen after the installation is complete.
Initial Setup (Account Linking/Login)
When you start using the add-on, or when you are logged out (e.g., if the session has expired), you need to link (log in) with your YubiOn SecureFileTransfer account.
1. Open the Compose New Email Screen
- Launch Gmail and click the [Compose] button (or the + icon) at the top left of the screen to open a new message window.
2. Launch the Add-on
- Click the YubiOn (Send files by YubiOn SecureFileTransfer) icon displayed at the bottom of the email compose screen (alongside the send button).
- If a Google Add-on access authorization screen appears upon launch, follow the on-screen instructions to authorize access.
3. Execute Account Linking (Login)
- When a panel prompting you to log in appears on the screen, click the Login button.
- In the newly opened window, enter your YubiOn account information and log in.
- Once the login completion screen is displayed, close the window. The add-on screen will automatically switch to the product operation screen (file transfer window).
Note: If the screen does not switch, click [Reload] in the panel, or close and reopen the email compose screen.
Basic Usage (Sending Files)
After the initial setup is complete, you can securely upload and send files from the Gmail compose screen using the following steps.
1. Open the Compose New Email Screen
- Click the [Compose] button in Gmail to open a new message window.
- [Recommended] It is recommended to enter the email "Recipient (To)" and "Subject" beforehand.
By entering these first, you can skip entering the recipient and title in the subsequent file upload screen.
2. Launch the Add-on (File Transfer Screen)
- Click the YubiOn (Send files by YubiOn SecureFileTransfer) icon at the bottom of the email compose screen.
- The add-on operation panel will appear on the right side of the screen with the message "Please select what you want to do." and a [Upload files] button.
If a screen prompting you to log in appears, please log in according to the "Initial Setup (Account Linking/Login)" steps mentioned above.
3. Upload and Send Files
- Click the [Upload files] button in the panel.
- Follow the instructions on the newly opened SecureFileTransfer upload screen to Upload the files you want to send.
- Once the upload is complete, "Download Instructions (URL, etc.)" will be automatically added to the Gmail email body. Send the email as you normally would.
